ATTENDEES: Attendee CSV Upload

An important step in preparing your Event is making sure that your Attendees are configured properly. This can be handled individually using the Add New Attendee button, but Bluebird also makes it easy to load dozens, or even hundreds, of new Attendees into your Event all at the same time using the CSV Upload feature!

"CSV" stands for "Comma-Separated Values," which is a filetype used by tools like Excel and Google Sheets. For our purposes, all that it's important to know is that it's a kind of spreadsheet!

Obtaining your Attendee CSV Template

To begin, open your Event and navigate to the Attendees tab. In the top right corner you'll see the option to "Download all as .csv file"

Click that button to initiate the download, and then open the new file that's been saved to your computer. This is your Attendee CSV Template.

Preparing Your Attendee CSV For Upload

When you open the Attendee CSV, The Attendee CSV template has six key fields in columns A-F:

  • ID: a user ID, assigned by Bluebird Admin. When you are uploading your Group CSV for the first time, leave this blank. In the future, when you make updates to an existing Attendee list, it's important to make sure that this number matches the existing number for each Attendee.
  • Email: the email address the Attendee uses to log in to this event. Each Attendee can only be assigned one email address.
  • SSO ID: if your organization uses a SSO service to log in, list their password or other credentials here. Otherwise, leave this space blank.
  • First Name, Last Name, Company: personal details about the Attendee.

The remaining fields are included in this template by default, but will not be visible to Attendees if left blank.

One exception to the above rule is "Show in Directory" which can be found at the right end of the list of fields (in a new CSV, it should be column AD). This must be toggled TRUE or FALSE; if TRUE, the Attendee will be displayed in the in-app Directory and be visible to other Attendees. If FALSE, the Attendee will be invited to the app, but their Profile will not be visible in the Directory.

Another unique field is "Avatar URL," which can be found in column U in a new CSV. This allows you to assign a photo to each Attendee by pasting a URL of where the image can be accessed. This could be your own image hosting service, but it can also call images from Bluebird Admin's own Media library (see Media for more details).

When you are done editing your Attendee form, make sure you save it as a CSV.

In Google Sheets, this means opening File —> Download —> Comma Separated Values:

In Microsoft Excel, this means opening File —> Save As, and then selecting File Format —> .csv:

Uploading an Edited CSV

When you're ready to upload your Attendee list, return to Attendees in Bluebird Admin, and select Upload .csv file in the top-right hand corner

Common Errors

When uploading an Attendee CSV, you may encounter some of the following errors:

Unexpected Column Headers Found

This error may occur if you have uploaded a CSV after adding or rearranging columns. You may also experience this error when you upload a CSV for the first time.

Record Not Found

This error may occur if you have altered a user's ID number so that it no longer matches the ID saved in Bluebird. The ID number is assigned by our system, and should not be edited using CSV upload.
