Bulk Agenda Group Assignment

Groups are Bluebird's most powerful tool for creating customized experiences for your Attendees. They can help curate a personalized Agenda, narrow your audience for Announcements, and even show or hide Materials from certain audiences. In this article we will discuss how to assign Groups to multiple Agenda Sessions at once, using the Bulk Group Upload tool.

This tool is used to assign existing Groups to existing Agenda Items for your event. Before you follow the instructions below, make sure you've added both Groups and Agenda Items to your event!

Downloading the Bulk Agenda Group Form

In Bluebird Admin, navigate to Agenda. In the top-right-hand corner, locate the Download Bulk Agenda Groups button.

Click to initiate the download, and then open the new file that's been saved to your computer. This is the template you will use to create your own Bulk Agenda Groups Form.

Reading the Bulk Agenda Groups Form

The Bulk Agenda Groups Upload form has five key fields by default, listed in columns A-E:

  • ID: the Agenda Item's ID number, automatically assigned by Bluebird.
    • If this field is blank, leave it blank. However, if you are making updates to an existing list, it's important to make sure that this number matches the existing number for each Agenda Item.
  • Name: The name of your Agenda Item.
  • Start Time, End Time: These will be written in UTC Date-Time format.
    • For example, May 14th, 2025 at 2pm will appear as 2025-05-14T14:00:00Z
  • Notes: You can add notes for yourself an other Event Admins here. This will not be seen by Attendees.

Don't make any edits to the items in columns A-E. If you see something about an Agenda Item you'd like to change, you must do so directly in the Admin, or by using the Bulk Agenda Items Form.

Your Groups will be listed in their own new Columns, beginning in column F. This form cannot be used to create Groups; so if you don't see a Group you're expecting to see, you may need to go to Groups in the Admin to add it.

Assigning Groups to Agenda Sessions Using CSV Upload

If you've got four Groups (Group A, Group B, Group C, and Group D), your Agenda Groups form may look something like this:

Adding Groups to each session is as simple as writing TRUE in a cell. If a group needs to have access to a session, write TRUE where that Group's column meets the session's row.

Remember: Any content that is not assigned to ANY Groups will be visible to ALL Attendees.

In our example, your form might look something like this:

This configuration means that Group A's Agenda will look like this:

  • Welcome Desk Open
  • General Session Welcome
  • Break
  • Workshops

Group B's will look like this:

  • General Session Welcome
  • Break
  • Workshops

And so on!

When you're done editing, remember to save or export your sheet as a .CSV file.

Uploading Your Form

When your Bulk Agenda Group form is filled out, return to Agenda in the Admin and select "Upload Bulk Agenda Groups CSV."

Select your saved form, and voila! Your Groups will now be assigned to Agenda Items ✨
